Refund Policy

Refund Policy (Events & Training Courses)

1. General Policy

At North West Medical Solutions Ltd, we understand that circumstances may change. Our refund and cancellation policy is designed to be fair to both customers and our team. This policy applies to bookings for event medical cover and training courses made directly with us.

All cancellations must be made in writing by email or post. Refunds, where applicable, will be processed within 14 working days.


2. Cancellation by the Customer

Event Medical Cover

  • More than 21 days before the event: Full refund (no charge).

  • 10–21 days before the event: 75% refund (25% of the invoice cost will be charged).

  • Less than 10 days before the event: No refund (100% of the invoice cost will be charged).

Training Courses

  • 30 days or more before the course: Full refund.

  • 21–29 days before the course: 90% refund (10% cancellation fee).

  • 14–20 days before the course: 50% refund.

  • 7–13 days before the course: No refund.

  • Less than 7 days before the course: No refund.

Note: If a candidate can be substituted by another from the same organisation, cancellation charges may be waived.


3. Non-Attendance and Late Arrivals

  • If a participant fails to attend a course without prior written notice, no refund will be given.

  • If a participant arrives late or misses part of the course, and we deem this affects their ability to complete it satisfactorily, no refund will be issued.


4. Cancellation by North West Medical Solutions Ltd

If we need to cancel or postpone a service or training course (e.g. due to illness, emergency, or local lockdown restrictions):

  • You will be offered either a full refund or the option to reschedule to a later date.

  • All decisions will be communicated in writing, by phone or email.


5. Force Majeure

We will not be liable for any failure to perform, or delay in performance, due to events beyond our reasonable control (e.g. natural disasters, extreme weather, public health emergencies). In such cases, we will aim to rebook or refund where possible but cannot guarantee full refunds.


6. Payment Terms

  • All invoices must be paid within 30 days or prior to the event/course start date (whichever is sooner).

  • Late payments may incur surcharges:

    • Over 30 days: 10% surcharge

    • Over 45 days: 25% surcharge

    • Over 60 days: Referral to legal department

Certificates for training courses will be withheld until payment is received in full.


7. Substitutions and Transfers

We allow the substitution of candidates from the same organisation, subject to notification and agreement before the course or event date. Requests to transfer bookings to another date may be considered subject to availability.


8. Recommendations

  • Customers are encouraged to take out event cancellation insurance to cover unforeseen issues.

  • It is the responsibility of the customer to ensure that participants are fit and eligible for the training or event requirements.
